Shift: M-F 9:00 AM – 5:00 PM, occasional evenings and weekends. Able to work long hours as needed/scheduled.
SUMMARY
Position assists all members (up to 7 managers) of the Sales and Catering departments in all facets of sales, catering and event servicing processes; from phone solicitation through service of an event while in-house, including after-event follow up. Position also works closely with all departments at the resort. Candidates should have a strong background in customer service and hospitality with good phone, computer and customer service skills. Knowledge of catering/conference services and hotel sales operations preferred. We are seeking someone who is passionate and can anticipate and meet the needs of our staff and guests.
Duties:
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Primary responsibility is to provide administrative support and coordination for the sales and catering/conference, departments. Provide secondary support to the programming and marketing team as needed.
Answer phones. Respond to general telephone/email/mail inquiries. Must be able to provide clear, accurate and pleasant telephone communication. Be able to deal with a high volume of incoming calls. Qualify all incoming phone calls for direction to the appropriate sales or conference manager.
Assist managers with daily administrative duties. Produce, copy and distribute contracts and proposals, group resumes, billing and introduction packets as requested by managers. Update and distribute daily reports, order and pick up supplies, maintain group files, continually update and check the accuracy of information disbursed to clients. Assist Catering Managers and Program Manager with the execution of on-property events as needed.
Perform clerical duties such as typing, faxing, copying, filing, taking meeting minutes, sending out collateral, creating and distributing reports. Maintain and upkeep of all office equipment. Assist in merging of proposals and contracts as requested. Document sales leads, client contacts and group activities in Delphi.
Greet, receive and assist guests, clients and visitors. Answer questions and concerns; follow through either to resolution or refer to the appropriate manager. Act as a liaison between clients and management. Meet with clients and conduct site tours when needed, as well as conduct room inspections prior to showing rooms.
Coordinate reservation request forms, amenities, banquet event orders and proposals for VIP clients when needed. Manage invoices, POs, check requests and other miscellaneous paperwork.
Assist with special projects as needed. Assist with preparation for trade shows and sales trips as needed. Run errands as needed on and off property.
Pleasant, out-going, self-motivated and career minded individual. Strong organizational skills, great initiative and able to multi-task and act independently.
Excellent verbal and written communication skills. Capable of managing multiple projects and responsibilities with ease. Well organized and detail-oriented. Able to work independently and as part of a team in a fast paced environment.

EDUCATION and/or EXPERIENCE
High School diploma or GED required. Some college preferred. Must be computer literate and proficient in Microsoft Office: Microsoft Word, Excel, and PowerPoint. Proficient typing skills (minimum 40 w.p.m.). Delphi and SMS experience a plus. Prior hospitality and/or administrative experience a plus.
LANGUAGE SKILLS
Able to read, analyze and interpret general business periodicals, professional journals. Ability to write reports, business correspondence and procedure manuals. Able to effectively present information.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
